Complete/Print Reviews

There are 3 different types of Employee reviews: Business Plan Review, Professional Development Plan Review, and Competency Review. By default, an incumbent and his/her supervisor will be set up to do these reviews. These defaults, and the terms used to define these review types, may have been  altered to match procedures and terminology within your organization.

 

The Employee completing the review must be assigned as a Competency Reviewer or a Work Plan Reviewer or both (either by default or manually through the Maintain Reviewers function) in order to have any Reviews to be completed appear on this list. Please refer to the Glossary for detailed definitions of default and manual reviews/reviewers.

 

Note: These Help pages assume that you are familiar with the standard features of the screen (Search Box, Filter Box, Tool Bar, and Actions Box) - and standard screen controls (selecting a row, using pick lists, using check-boxes and spell-checking). Administrative Notes:

An employee must be attached to an active (and approved, if activated) Job in order for for his/her learning and growth to be evaluated in a Competency Review.

The User ID logged in must be linked to an Active Employee in order to have any Reviews to complete appear on this list. Otherwise, the system can not determine which default or manual reviewers to display because it doesn't know who the Employee (Reviewer) is.

Reviews must be completed before the Employee(who is changing jobs) is assigned their new job position.

 

From the Main Menu move the mouse over Employees in navigation bar and select Complete Reviews:

The Review List screen lists all of the reviews that you (the Reviewer) are required to complete. By default the list is sorted so that the reviews most urgently requiring your attention - the incomplete reviews and the reviews with the earliest due date - are sorted to the top of the list. Also by default, the list displays reviews that are for the Current Review Period being completed by your organization. This may be different from the current calendar year. Refer to the Glossary for a detailed definition and examples of the Current Review Period.

 

General notes:

Use the Tool Bar to navigate off of this screen.

Use the Search icon to search for a specific Reviewee by typing the last name.  

Filter Icon allows you to choose filters for the review list.

Complete Review Screen_Actions Box

The Actions Box displays all of the actions that can be performed. Reports icon is used to Print the Learning and Growth Report for Selected Employee.

The Goto Box displays the other functions that can be accessed from this screen.Goto Box2

The Review Dates: View> From and To Dates>Go displays the dates for review.

The Selected Row is identified above the list of reviews and highlighted in black.

The row the mouse is over is highlighted in green.

The column that the information is sorted by is identified by a slightly darker background. Click on a column heading to sort by that column (ascending). Click the column heading again to change the sort for the column to be descending.

 

Review ID

The Review ID is the unique identifier in the system for a particular review.  The Review Start Date will indicate the date that the review was created and the Review ID assigned.

For default reviews, the Review ID is assigned when the reviewer opens the review for the first time.  That's why a default review that has a status of Not Started does not have a Review ID.

For manual reviews, the Review ID is assigned and the review is created when the reviewer gets added in the Maintain Reviewers function. That's why a manual review has a Review ID assigned.

 

Status

The Status is determined based on the state the review is in.

Not Started means this is a default review that has not been opened yet.

In Progress means this is a review that has been started. If the review status is In Progress this means the review is a manual review that was been created but not yet opened by the reviewer.

Completed means that all components of the review are completed.

 

Locked

The Locked column indicates whether the review has been locked to prevent further editing. The review gets locked a certain number of days (as determined by the System Administrator) after completion. Only a System Administrator can unlock a review.

A CheckMarkin the Locked column means the review is locked.

Blank means it is not locked.

 

Administrator Notes:

If the Policy "Show Employee ID on Non-Admin Screens and Reports?" is turned on, a column for Reviwee Employee ID will be included in this display and the Search Box will allow for searching by Reviewee Last Name or Reviewee Employee ID.

The Core Table - Review Types settings determine when the completed reviews will be locked. The system default is 14 days.

If required, a review can be unlocked by a System Administrator on the Maintain Reviewers screen.

Reviews, whether in progress or completed, will automatically be locked after two years. Only the administrator can unlock or delete the review.

 

Date Fields

Start Date is the date the review was created (refer to the notes about Review ID above).

End Date is the date the review must be completed by.

Due Date A date assigned by the system to denote when a Review is expected to be completed.

Completed Date is the date the review was completed. Note: This field does get updated each time you make a change after the review is complete (for example, if you add comments or change an evaluation).  The system will Lock the review based on this date.

 

Filtering The Review List

The default display of the Reviews screen is to show reviews for the Current Review Period only.  The Tool Tip on the FilterButtonbutton displays any filters being applied or filters being reset. In this particular screen,  the current value of no filters is shown in the Tool Tip.

Click the FilterButtonbutton to open the Filter window for Reviews.

Role

Choices are (All), Client, Incumbent, Peer, Subordinate and Supervisor.

 

Type

The pick list of Review Types will only show review types that are enabled. If one or both of the Work Plan types (Business Plans or Professional Development Plans)  are  disabled that review type will not appear, and if both have been disabled, the Review Type filter is not shown at all.

 

Administrator Note: The Work Plan Policies "Enable Business Objectives" and "Enable Professional Development Objectives" are used to determine the pick list values for the Review Type.

Reviews

Actions Box

The actions available on this screen are:

Edit or view a review. Only reviews that are not locked can be edited.

Print,Reports, Employee Performance Report for Selected Employee.

Note to Administrators:

Add a manual review

Delete a manual review

 

Available to Leads/Employees when the policy Do you want to allow Leads/Employees to add/delete reviewers in the Complete Reviews page?If this is set to Yes, then the Leads/Employees will see the add and delete buttons in the Complete Reviews page to add and remove reviewers.

 

Add a Manual Review

In addition to the default review, a Lead may assign individual Reviews to an Employee being reviewed.  This customization allows the Supervisor to assign different Reviewers with specific Roles (Supervisor, Client, Peer, Subordinate) to an employee as required (Manual Reviewers), allowing for full 360 review functionality.  

 

To Add a Reviewer

To add a reviewer, Click InsertButton.

The Reviewee text box will default to the selected (highlighted) entry. (Note: The selection is in a black bold font)

Search by Reviewer Name.

Select the Reviewer's Role (the reviewer role will default to the first role in the drop down menu).

Review Type will default to the selected (highlighted) review. See example above. Audrey McIntyre's review has been selected; therefore, Competency has been selected as the default for the Manual Review to be added.

Carefully ensure the dates are correct for the review.

Click SaveButton to accept or CancelButtonto cancel and close the screen.

 

 

Manual Review_Work plan

System Administrator:

A Lead may assign individual Reviews to an Employee being reviewed.  This customization allows the employee to assign different Reviewers with specific Roles (Supervisor, Client, Peer, Subordinate) to an employee as required (Manual Reviewers), allowing for full 360 review functionality.  

 Leads now have the ability to add/delete reviewers in their Organization Unit.

 

Delete Manual Review

To delete a review, log in as the reviewer to whom the review was assigned.

Select the review to delete (Note: it will be marked in progress with a review id).  It will be bolded in black when selected.

Click DeleteButton (you will be asked to confirm the deletion).

 

 

Edit Review

Competency Reviews are explained in detail in the Help Topic Competency Reviews (under Complete Reviews).

Work Plan Reviews are explained in detail in the Help Topic Work Plan Reviews (under Complete Reviews).

 

Reviewee's must have a valid Job assigned to them before a Competency Review can be started. It is the job that determines what Skills are to be reviewed and what the Importance Ratings are for each competency and which determines what characteristic reviews to perform.  The job must be Complete in order to provide the Importance Rating information. If the Reviewee does not have a valid job assignment the following Information Message Window is displayed when you try to edit the review:

Click OKButtonto return to the Review List screen.

 

View a Review

When the selected Review is locked the EditButtonchanges to ViewButton and the Tool Tip for ViewButton gets shown as:

This Tool Tip will remain displayed until you move your mouse off the ViewButton.

 

General Comments

General Comments for Work Plan Reviews are added within the Work Plan Review.

General Comments for Competency Reviews are added/viewed right inside the Competency Review and are not viewable or modifiable here.

Comments can be viewed for any Work Plan Review but edited only if the review is not locked.

1.Select the desired Work Plan Review and click CommentsButtonto open the General Comments window for the Review.

2.Click SaveButton to save the comments.  

3.Click CancelButton to close the window without saving the comments.

 

 

Print Learning and Growth Report for Selected Employee

On the review list screen, in the complete reviews, the option for a Lead or an Employee to print,Reports, a learning and growth report for a selected employee or as the incumbent is available.

 

 

Lead:

Select the Employee for whom you would like to print a learning and growth report.  Click the GoButton to narrow the report selection.

Select the Reviewer Role from the list.  The default is Supervisor.

Select the From Date - click the date field then select the correct date from the calendar.  The default From date is set to the number of days counting backward from today, based on the Policy: Employees > Employee Settings> Reports > When printing learning and growth reports, only include reviews completed in the past nn days (0 - 365).

Select the To Date - click the date field then select the correct date from the calendar.  The default To date is today's date.

Check the "All Review Comments" to have comments (both the General Comments and the Competency Comments) along with the justifications to be printed on the Learning and Growth Report.

Ok to run report or Cancelto cancel and return to the previous screen.

 

Note: Future dates cannot be used for the Review Completion Date Filter.  In addition, the 'To' Date must be on or after the 'From' Date.

 

An option of printing a review-to-date or a blank review for the selected review is also available from this screen.

Note: For the selected Employee, these NEW reports will enable reviewers to complete hard copy competency/work plan reviews offline, with the same look and feel as the online version.

 

Leads see him/herself and all of the Employees who report to them. Leads do not see the names of co-Leads. If a lead selects him/herself, the generated Learning and Growth Report will include only their own Review. When a lead selects an employee who reports to him/her, the generated Learning and Growth Report will, by default, include all of the Reviews for the selected Employee(s).  Leads will also see Employees in other organization units if they have completed reviews for that person.

Non-Leads who are not Administrative Users will see only their own records or Employees they have completed a review for and the generated Learning and Growth Report will include only their own Review.

 

Reviews BY Subordinates for their Direct Reports

This function will enable a Lead to review reviews that are in progress by their subordinates for their direct reports. Viewing of Learning and Growth Reviews, if they are SUBORDINATE type reviews, is restricted to a individual who is logged into the application if he/she is looking for reviews by direct reports of them.

Print

Please note: The printbutton1which took you directly to the Print Learning and Growth Report Screen in order to minimize the number of steps required to complete a Learning and Growth Review has been removed. You may click on the Reports to print the Learning and Growth Report for Selected Employee.

 

As the System Administrator for Encompassing Visions, you will need to go to the Employee Screen to individually select and print the Learning and Growth Reports, as required.
