At the end of each review period, the Employee will be reviewed on his/her accomplishments. There are 3 different types of Reviews that can be completed:

Business Plan Review, which assesses the employee's accomplishment of any objectives in a Business Plan that was created and approved at the beginning of the review period.

Professional Development Plan Review, which assesses the employee's accomplishment of any objectives in a Professional Development Plan that was created and approved at the beginning of the review period.

Competency Review, which assesses the employee's learning and growth according to importance of the Competencies in the Job they are paid to do, and as demonstrated during the review period.

 

Default Reviewers

Encompassing Visions automates the Reviewer selection process by use of default Reviewers.  The default Reviewer is based on one of two relationships your organization determines:

1.The Organization Structure/Lead relationship, or

2.Supervisor/Employee relationship.

 

If the policy: Do you use Employee/Supervisor relationship for Reviews? is set to Yes, the system will assign the Supervisor identified in the Employee details as the default Reviewer.  If the policy is set to No (default position), the Employee's Lead in the Organization Structure will be assigned as the default Reviewer.

 

Administrator Notes:

If it is determined that the Employee or Supervisor should not automatically be the default reviewer in your Organization, you can turn off the default assignment in the Policies (see Employee - Business Objectives, Professional Development Objectives, and Review Policies).

If you want to utilize the default reviewers but have some situations where you want to delete the default reviewer, you can remove them using this screen by deleting the Reviewer. However, doing so will permanently (i.e. for all future years) remove this default review relationship for Competency reviews. For Work Plan reviews, only the default for that specific Work Plan review will be suppressed. Please contact the Encompassing Visions support team (techsupport@encv.com) for more information about suppressing default reviews.  

The review dates are defaulted based on the current date and policies for your organization (see the Glossary definition for Review Period for details about how the defaults are calculated).

Manual Reviewers

In addition to the default Reviewer functionality, you may also assign individual Reviewers to any Employee being reviewed. This customization allows you to assign different Reviewers with specific Roles (Supervisor, Client, Peer, Subordinate) to each Employee as required (Manual Reviewers), allowing for full 360 review functionality.  

 

To access the Review list:

In the Employees module, select Employees.

Select the Employee from the list of Employees.

Go to the Action box and click Add/Remove Reviewers Add Remove Reviewers from icons available.

 

Reviewer List

The Reviews screen presents all reviews for the selected Employee:

Printable Review-to-date

The name of the selected Employee is shown at the top of the screen.

This screen shows current reviews based on the Review period set up in the Core Tables.

All the Reviewers for the selected Employee are shown on the list.

All columns are sortable by clicking the column title.

The Status column indicates the current status of the review: Not Started, In Progress or Completed.

The Printable Review-to-date feature has been added to the reviewer list screen.  The Printable Review-to-date displays a printable copy of the Competency Review(s) and Work Plan Reviews. Any responses and comments are included. The View Go button, GoButtonSmall, will be grayed out if the review is NOT STARTED.

 

To Add a Reviewer

To add a reviewer, select the employee in the employee list.

Go to the Action box and click Add/Remove Reviewers Add Remove Reviewers from icons available.

Click InsertButton.

Begin to type the Reviewer's first name or last name in the search box and click on the Reviewer's name.

Select the Reviewer's Role.

Select the type of Review. Note: if Work Plan is selected, a menu opens showing all Work Plans that are within the current or future year IF the Work Plan is Complete and Approved.  See Work Plans for details.

Carefully ensure the dates are correct for the review.

Click SaveButton to accept or CancelButtonto cancel and close the screen.

 

To Delete a Reviewer

To delete a reviewer, select the employee in the employee list.

Click Employee Reviewers/Reviews Add Remove Reviewers in the Actions box.

Select the review to delete.  It will be highlighted in the table when correctly selected and bolded in black.

Click DeleteButton (you will be asked to confirm the deletion).

Notes about Deleting Reviewers:

Only Reviewers with incomplete reviews can be deleted. If a Reviewer with a complete review needs to be deleted then the review must first be unlocked by an Administrative User (see the Help section Work Plans for instructions).

If the Reviewer to be deleted has already started (but not completed) this review, deleting the Reviewer will also delete the Incomplete review. This is the only way to remove a review from the system.

If the Reviewer being deleted was originally a Default Reviewer, the Default Reviewer record will be regenerated after this delete takes place so that the Default Reviewer can start a new review. (Reminder: Once a Default Reviewer starts a review they no longer appear in the system as a Default Reviewer). To permanently stop a Default Reviewer from having the Default Reviewer record generated you have to delete the Default Reviewer while they are still identified in the system as a Default Reviewer (i.e. before they start the review). The system is set up this way specifically to facilitate the deletion of reviews - which can only be done by deleting the Reviewer record. Unlock a Review

Completed Reviews can not be modified  by any user in the system so if a change to the Review is required, the review must first be unlocked. Only Administrative users have the appropriate access to unlock a previously completed review but not any/all previously completed reviews. They can only unlock a review if it was completed for last year's review period and the current year's review period.  A Review is unlocked in one of two ways, either by removing the completion status on the Edit Review Details screen (instructions below) or by unlocking the review in the Work Plans screen (see the Help topic: Work Plans for more information):

Uncheck the Complete box unchecked.

Click SaveButton to save or CancelButton to cancel.

 

Note: The Review status can only be changed to incomplete (IN PROGRESS). You can NOT mark the review Complete. The Reviewer must go back to the Review and make any necessary changes in order for the status to be set back to Complete.

 

 

*If someone has not started the Employee Review(s) prior to the review period rolling over (Due Date has passed), an Administration user will be able to create a review for the previous review period.  With change to the “Lock Period” process this will allow reviews to be created and completed for the previous review period.

 

Note: Reviews must be completed before the Employee(who is changing jobs) is assigned their new job position.
