Maintain Category/Sub-Category

This function allows you to establish and maintain the Category and Sub-Category used for grouping Skills.

 

An organization may have thousands of technical skills. To simplify searching and maintenance, Encompassing Visions groups skills by Category and Sub-Category.  

Examples of high level categories include: "Administrative" which would include all business support skills such as "Building Operations", "Law", "Human Relations", and "Accounting". Another category might be "Computers and Systems" with sub-categories such as "Application Development", "Network Maintenance", "Mainframe Operations", and "Information Management".

 

Tip: If your organization needs to track specific information about education (perhaps for business planning purposes), you can set up a Category for "Specific Degrees / Diplomas" (which would include the different types of degrees / diplomas related to such sub-categories as Engineering, Nursing, etc.). These will appear in the Learning and Growth Review if linked to the job and the Technical Skills reviews are turned on.

 

Maintain Category

From the Skills and Certifications list, click The Radio Button > Skill Categories:

All Categories in the system are displayed on this list sorted by Description.

Use the scroll bars to scroll through the list of Categories.

The selected Category is identified under the action box.

The list is sorted by Category Description.

 

1.Click Add New to add a new Category.

2.Double click the desired Category or select the desired Category and click Edit to edit the selected Category.

3.Click Delete to delete the selected Category (you will be asked to confirm the deletion).

4.Click Close to return to the Maintain Skill Categories or Sub-Categories screen.

 

Note: Deleting a Category also deletes all linked Sub-Categories. Only Categories/Sub-Categories that are not attached to skills can be deleted.

 

Add a New Category

The New Category screen is used to Add a new Category:

Enter the Category ID (this is the Primary Key of the Category table and must be unique).

Enter the Description for this Category.

Enter desired Memo Notes in the text box.

Click Save to return to the Maintain Skill Categories or Sub-Categories screen with the Category List refreshed to show the newly added Category.

Click Cancel to return to the Maintain Skill Categories or Sub-Categories screen without saving the new Category.

 

Reminder: Before you can add a skill to a Category, you must attach one or more Sub-Categories to the Category.

 

Edit a Category

The Edit Category screen is used to edit the selected Category:

The Category ID is a Primary Key and can not be changed.

Update the Description or Memo Notes for this Category.

Click Save to save the changes and return to the Maintain Skill Categories screen with the Category List refreshed to show the changes.

Click Cancel to return to the Maintain Skill Categories or Sub-Categories screen without saving changes.

 

 

Maintain Sub-Category

Note: Before adding a Sub-Category to the system a Category to attach the Sub-Category to must already be set up (see Maintain Category)

 

From the Skills and Certifications list, click The Radio Button >Skill Sub-Categories to display the Skill Sub-Categories Screen:

All Sub-Categories in the system for the selected Category are displayed on this list sorted by Description.

Select the desired Category.

Use the scroll bars to scroll through the list of Sub-Categories.

The selected Sub-Category is identified below the Actions box.

Click Add to add a new Sub-Category.

Double click the desired Sub-Category or select the desired Sub-Category and click Edit to edit the selected Sub-Category.

Click Delete to delete the selected Sub-Category (you will be asked to confirm the deletion).

 

Note: Only Categories/Sub-Categories that are not attached to skills can be deleted.

 

Add a New Sub-Category

 

The Edit Category/Sub-Category screen is used to to Add a new  Sub-Category:

Enter the Sub-Category ID (this is the Primary Key of the Sub-Category table and must be unique).

Enter the Description for this Sub-Category.

Select the desired Category to make this a Sub-Category of.

Enter desired Memo Notes in the text box.

Click Save to return to the Skill Categories screen with the Sub-Category List refreshed to show the newly added Sub-Category.

Click Cancel to return to the Skill Categories screen without adding the Sub-Category.

 

Edit a Sub-Category

The Edit Sub-Category screen is used to edit the selected Sub-Category:

skil_sub-catergories_edit

The Sub-Category ID is a Primary Key and can not be changed.

Select a new Category to make this a Sub-Category of or Update the Description or Memo Notes for this Category.

Click OK to save the changes and return to the Skill Categories screen with the Sub-Category List refreshed to show the changes.

Click Cancel to return to the Skill Categories screen without saving changes to the Sub-Category List.
