The Job evaluations in Encompassing Visions provides the backbone for all Learning and Growth Feedback functions.  It is imperative to have accurate Job information and history in the system to correctly create and analyze learning and growth data. Because of this, the system will not allow a job to be deleted if it is linked to an Employee or a Competency Review.

 

If your organization does not utilize the Learning and Growth Feedback features of Encompassing Visions (and has never done so), there should be no issues deleting jobs from  the system.

 

Jobs Linked to Employees

If the Job is linked to one or more Employees, they can be identified using the Linked Employees selection in the Jobs view box.  The Job can be unlinked from the Employee in Employees > Employees. See the Help topic: Employees for detailed instructions.  Any incomplete Competency reviews for the Employee will still have the Employee's Job assigned to them so you will need to make a decision about whether they are to be completed or deleted.  The Job Title for the Employee is displayed inside the review along with the Reviewee name.

 

Jobs Linked to Reviews

The current Job assignment is attached to the Employee for all Competency reviews when the review is started (for default reviews) or when the reviewer record is created (for manual reviews). This accurately displays Competency review information about historical reviews, but it also means that all old jobs must be kept in the system to maintain accurate Learning and Growth history. This was effective in Version 9.1, and any Competency reviews created prior to that time will not have the job linked to the Competency review and are not impacted.

 

Make the Job Inactive

Instead of deleting an old job, the job can be made inactive.  Inactive Jobs can not be assigned to Employees.  A job can not be made inactive if assigned to an Active Employee.(You can make a job inactive if a) there are  no employees in it or b)any attached employee is inactive).   Inactive Jobs do not count against the Job Constraint (license) but historical Learning and Growth information is kept intact. The Job can be made inactive on the Job Details screen (see the Help Topic Jobs > Actions Box).

 

Note: Inactive jobs are "View Only"  For the Print Learning and Growth Reports-if the selected review period includes a time when the employee was in a Job that has since been made inactive, the report will print without any limitation.  The report can also be Archived.

 

How to Delete the Job

If a Job still needs to be deleted:

1.Delete any Competency reviews linked to that Job. Note: It is likely that the Competency reviews will be for employees assigned the Job so use the Linked Employees report to find them and then go look at the reviews in the Reviewers screen. It won't be obvious which of the reviews are actually linked to the job because the system does not display that information but it is this function that you use to delete the Reviews by first editing the Reviewer.  This makes the review incomplete and then the reviewer can be deleted.  Note that there could be Reviews by several different people for this Reviewee that will need to be deleted - Supervisors, Peers, Incumbent, Subordinate etc.  If you need assistance with this cleanup please email techsupport@encv.com and we can provide you with a script that your IT Support Staff can run to help identify the reviews impacted.

2.Unlink the Job from any Employees that have been assigned to it.  

3.Delete the Job.
