Characteristic Maintenance

With this function you can view and maintain the Characteristics identified for the selected Competency.

 

Note: These Help pages assume that you are familiar with the standard features of the screen (Search Box, Filter Box, Tool Bar, Actions Box and View Box) - and standard screen controls (selecting a row , using pick lists, using check-boxes and spell-checking). The Maintain Characteristics for Competency screen lists all of the Characteristics currently linked to the Competency sorted by Job Group then Sequence number.

 

General notes:

Use Close tab to close tab and return to the Maintain Competencies screen or Help icon2to open the Help.

The Filter Box allows you to choose filters for the Characteristics list.  

The Actions Box displays all of the actions that can be performed.

The Selected Row is identified in black bold font.

The row the mouse is over is highlighted in green.

The column that the information is sorted by is identified by a slightly darker background. Clicking on a column heading will sort by that column (ascending). Clicking the column heading again will change the sort for the column to be descending.

The scroll bar on the list is used to scroll through all of the records in the table.

 

Characteristic ID

The Characteristic ID is the unique identifier for this question within this Competency.  

This means that the Characteristic ID can be used in other Competencies but it doesn't necessarily mean the same thing under a different Competency.

The ID must be Unique for this Competency.

Once assigned the Characteristic ID can not be changed.

 

Characteristic Type

The Characteristic Type identifies whether the Characteristic is a Competency Characteristics or Personality Trait Characteristic.

The Personality Trait Characteristics are all System Defaults and are used in both the Competency Evaluation and in the generation of the Work Style Analysis section of the Learning and Growth Report.  Personality Trait Characteristics are hard-coded into the application and can be made inactive but can not otherwise be changed.

The Competency Characteristics can be customizable (i.e. you can create Competency Characteristic questions).  

If not using the Work Style Analysis we recommend reviewing these Characteristics to determine which ones you want to include in the Competency Evaluation.

 

Seq #

This is the sequence that the Characteristic questions will be asked in for the Competency Review.

The sequence number is customizable - you choose the order in which you would like the questions to appear.

Maximum sequence number is 99.

When duplicate sequence numbers are assigned the system uses the Characteristic ID to determine the order in which to ask the questions.

 

Job Group

This field is optional for Competency Characteristics that you add.  

Job Groups can not be assigned to the System Default Characteristics.

 

Active

A CheckMarkin the Active column means the Characteristic will be included in Competency Reviews.

Blank means it is not active and will not be included in Competency Reviews.

Any Competency Characteristic can be made active or inactive.

While only active Characteristics will be included in current Competency Reviews, they may have been used in previous period Competency Reviews and need to remain in the system to allow historical Competency Reviews to display and print properly. Characteristics that are no longer used can be made inactive and can not be deleted for that reason.

Tip: By filtering your list, (FilterButton),  you can exclude any inactive Characteristics from your display.

 

Question

The Question is the text displayed in the Characteristic Evaluation of the Competency Review.

System Default Characteristics can not be edited.  To edit a System Default question, a new Characteristic will need to be added and the System Default will need to be deactivated.  

 

System Default

Characteristics that are supplied by Encompassing Visions with the installation are System Defaults.

System Defaults can be made active or inactive, have their sequence number changed or their Memo Notes updated but they can not have their Question updated.  

System Defaults can not be assigned a Job Group.

System Defaults can not be deleted. If you choose not to use a System Default question, they can be made inactive.

 

Filtering the Characteristics

Clicking FilterButtonwill open the Filter window for Characteristics.

Any combination of filters can be applied to make your list of Characteristics smaller.

The default for all filters is (All) - to show all information.

 

Actions Box

The Actions available are:

Add a new Characteristic.

Edit an existing Characteristic.

Delete a Characteristic.

Print a listing of Characteristics for this Competency.

Filter

 

Add a New Characteristic

1.Click 81to add a new Characteristic for the Competency.

The Characteristic Details screen is displayed with all of the information that can be entered about the Characteristic displayed .

2.All of the fields default to blank (or 'Not Applicable')  except for:

Type which is always Competency for new Characteristics.

Active - defaults to Active (checked).  Make the Characteristic inactive by un-checking the box.  

 

Note: Characteristic ID will always be converted to uppercase on this screen for storing in the database. This is to ensure consistent identification  of the Characteristics.

3.Click SaveButton to check for errors and, if there are no errors, save the new Characteristic. Refer to the Error Handling section in the Interacting With Encompassing Visions page to learn how the errors are displayed and how to correct them. The possible Errors are:

Characteristic ID is missing.

Characteristic ID already exists.

Characteristic ID has invalid text (i.e. special characters like *()/).

4.Click CancelButton to close the window without saving the Characteristic.

 

Note: When a new record gets saved, it is inserted at the top of the list rather than refreshing the entire list and it is set as the selected record. This is so that you are automatically positioned at the newly inserted Job and ready to perform other functions like completing the Questionnaire or Attaching Job Skills.

 

Edit An Existing Characteristic

1.Select the desired Characteristic on the list and click EditButtonor double-click the Characteristic to make changes to the Characteristic.

The Characteristic Details screen is displayed with all of the information that has been entered about the Characteristic:

2.This is the same screen that was used to add a new Characteristic except that some of the fields are disabled when the Characteristic is a System Default.

3.It is a good idea to update the Memo Notes with information about what was changed and when.

4.Click SaveButton to save the changes.  

5.Click CancelButton to close the window without saving the changes.

 

Remove a Characteristic

This function will only be enabled if the selected Characteristic is not a System Default Characteristic.

1.Select the desired Characteristic from the list and click DeleteButton to delete the Characteristic.

2.If the Characteristic can be deleted the the Confirmation Message Window will be displayed asking you to confirm the delete.

3.Click OKButton to confirm and proceed with the delete.

4.Click CancelButton to cancel the delete.

 

If the Characteristic can not be deleted an Information Message Window will be displayed indicating that the Characteristic is included in a Competency Review and can not be deleted.characteristics06

 

Print a Characteristic Listing

Click printbutton1 to print the listing of Characteristics for the Competency as shown on the screen including the filtering and sorting. You will be able to print the report or save it to your computer.

 

Note: If you need a listing of all of the Characteristics for all Competencies use the Competency Characteristics Report in the Competencies function.
