Maintain Skill Types |
Skill Types are maintained through the Core Tables function by choosing Skill Type as the Reference File to Maintain:
Basic functionality matches the Simple Code Tables in the Core Tables function except that Skill Type includes two additional fields: Uses Required Proficiency and Reviewable.
•This field identifies whether a Required Proficiency needs to be assigned when a Skill with this Skill Type is linked to a Job. •The Required Proficiencies available when linking the Skill to the Job are: Advanced, Intermediate and Basic. If none of these apply then 'Not Required' can also be chosen. •This would only be used if there are different levels of the same skill for different jobs. • (checked) means Required Proficiency is used. • (unchecked) means it is not. •Changing this field when the Skill Type is already linked to skills in the system can have implications for jobs and Competency Reviews. See the Changing Required Proficiency Indicator section below for details.
Example: If you have a skill where there are three different levels: Software Developer (Basic) Software Developer (Intermediate) Software Developer (Advanced)
You can create just one Skill - Software Developer - and assign different Required Proficiencies when the skill gets linked to different jobs. For these types of skills you should assign a Skill Type that has the Uses Required Proficiency Field turned on.
Alternatively, you can define three separate skills with the levels of your choosing. For these types of skills you should assign a Skill Type what has the Uses Required Proficiency Field turned off.
•This field identifies whether the Skill will be reviewed in the Skill Evaluations of the Competency Review for Employees in the Job(s) that the Skill is linked to. • (checked) means the Skill is included in Skill Evaluations. • (unchecked) means it is not included in Skill Evaluations. •Changing this field when the Skill Type is already linked to Ssills in the system can have implications for jobs and Competency Reviews. See the Changing Reviewable Indicator section below for details.
Deleting A Skill Type can only be deleted when it is not linked to any skills in the system. Use the Filter in the Skills/Certifications function to determine which skills are linked to each Skill Type.
Changing the Uses Required Proficiency Indicator Changing the Required Proficiency Indicator for a Skill Type will change the way that the skills are treated in the system.
Prior to changing the Skill Type details you should determine whether the Skill Type is linked to any skills. Use the Filter in the Skills/Certifications function to determine which skills are linked to each Skill Type. This will also tell you whether the skills are linked to any Jobs, Employees or Reviews. Run the Linked Jobs, Linked Employees and Linked Reviews reports for each of the skills to identify specifically which Jobs, Employees and Reviews might be impacted by a change to this Skill Type.
Turning Off Required Proficiency If the Required Proficiency Indicator is changed from (required) to (not required) it means that there should no longer be a Required Proficiency linked to this skill for any jobs that the skill is linked to. The system will ask for confirmation of the change:
Click Yes to proceed with the change. Click No to cancel the change.
Proceeding with the change will update all of the Required Proficiency fields for all jobs that all of the skills with the Skill Type to 'Not Required'. You can validate the results of this update by looking at the Job Skills screen of the Jobs function after the change has been applied. The jobs impacted are all those that are identified in the Linked Jobs Reports run for the skills impacted.
In the Job Skills screen the Required Proficiency for those skills that were changed will appear as follows:
If the Reviewable Indicator is the skill may also be included in Skill Evaluations for existing Competency Reviews. If this is the case, the Required Proficiency will not be changed on any of the Competency Reviews that have already been started or completed. Use the information on the Linked Reviews report to determine if there are any Competency Reviews in progress that will still be using the old Required Proficiency. The Required Proficiency on the already-started Review can not be changed so if updating this information is critical to the Review then it will have to be deleted and re-started. This is done by deleting the Reviewer in the Maintain Reviewers function.
Turning On Required Proficiency If the Required Proficiency Indicator is changed from (not required) to (required) it means that there should now be a Required Proficiency linked to this skill for each job that the skill is linked to. The system will ask for confirmation of the change:
Click Save to proceed with the change. Click Cancel to cancel the change.
Proceeding with the change will update all of the Required Proficiency fields for all jobs that all of the skills with the Skill Type to 'Not Required'. You will then have to manually update the Required Proficiency to the desired value for each skill in each job impacted. This is done on the Job Skills screen from the Jobs function. The jobs impacted are all those that are identified in the Linked Jobs Reports run for the skills impacted.
In the Job Skills screen the Required Proficiency for those skills that were changed will appear as follows:
If the Reviewable Indicator is the skill may also be included in Skill Evaluations for existing Competency Reviews. If this is the case, the Required Proficiency will not be changed on any of the Competency Reviews that have already been started or completed. Use the information on the Linked Reviews report to determine if there are any Competency Reviews in progress that will exclude the Required Proficiency. If the Reviewable Indicator is changed from (not required) to (required) it means that there should now be a Skill Evaluation included in any new Competency Review for Employees in Jobs with this skill. The system will ask for confirmation of the change:
Click Yes to proceed with the change. Click No to cancel the change.

This process will not add any skills to the Skill Evaluations for the skill in Competency Reviews that have already been started or completed.
