This module is identified by Employees in the navigation bar on the Main Menu.
The Employees module of Encompassing Visions contains information about Employees and the actions that Employees would typically perform. Access this module from the Main Menu by moving your mouse over Employees in the navigation bar. Functions within this module may include: 1.Employees - the list of all Employees in the application 2.Business Objectives - create and approve Business Plans (Available if policy is enabled) 3.Professional Development Objectives - create and approve Professional Development Plans (Available if policy is enabled) 4.Complete/Print Reviews - view, complete and print competency and (if enabled) work plan reviews 5.Reviewer Notifications - remind Reviewers to complete upcoming Learning and Growth Reviews and when Learning and Growth Reviews are overdue 6.Print Learning and Growth Reports - report the results of reviews 7.Archived Learning and Growth Reports - create and approve an electronic copy of the learning and growth reports 8.Employee Settings - allow options for many different variables such as how you name specific terms, features that you can turn on or off, and the number of items displayed in certain lists. This Administrative Function allows you to maintain the Policies for the Employees module. ▪Business Objectives – Policies for the Business Objectives Menu ▪Professional Development Objectives – Policies for the Professional Development Objectives menu ▪Reviewers – Policies that configure default reviewers ▪Competency/Print Reviews – Policies that define Competency Review characteristics ▪Learning and Growth Reports – Policies that define the parameters for Learning and Growth Reports
Notes: •The menu items that will be available are determined by the policies that have been enabled by your organization. Any function that is not enabled by your organization for business process purposes is hidden from this menu. •All functions are made available based on the User Access Levels.
Administrator note: The Employees menu item has been moved to the Employees module effective with the 9.4 version. In prior versions, this same menu item was located in the Administration module. Please see the detailed Help instruction: Employees for updated functionality.
Complete Reviews All users accessing the Complete Reviews function must have a User ID that is linked to an active employee. This allows the application to determine who the user is supposed to review. If the user has no link to an employee, the system will show a message indicating that they can not access the function:
This is most often the case with Administrative Users who are not Leads. Click to close the screen.
Learning and Growth Encompassing Visions establishes learning and growth expectations directly and automatically from the evaluated Job. It defines and quantifies expectations, observations and learning and growth ratings to ensure results are consistently tracked against what the employee is paid to do. Depending on the options your organization has selected, learning and growth reviews may also include an assessment of work plan accomplishments (what was done) with an assessment of the competencies demonstrated (how the job was done). Learning and Growth reports include information about the competency strengths identified for the individual, as well as their specific development needs in priority sequence. The system has the capacity to support a multi-rater approach to employee reviews.
There are two components to learning and growth measurement: •Competency reviews measure the Employee's learning and growth in terms of the behavioural competencies established in the system and any technical skills that have been linked to the job. •Work plans establish goals and objectives for the individual that can be assessed to measure the level of success achieved. Encompassing Visions allows for two types of Work Plans: Business Plans and Professional Development Plans.
Work Plans
Notes about Work Plans: Objectives will be added to the work plan details. Objectives should be specific, measurable, achievable, relevant and timebound. The details of each objective, including resources and Reviewers are recorded in Encompassing Visions.
Optional Work Plans Business and Professional Development Plans can be enabled or disabled by the System Administrator (see the Business Objective and Professional Development Objectives Policies).
The System Administrator can customize which fields are used in the work plans. See the Help section Objective Field Configurations for more information.
The Administrative User can customize many of the terms used in the work plans function to better match your organization's terminology. The following is a list of the terms that may be customized:
