Complete Competency Alignment Survey

From the Main Menu hover your mouse over the Strategic Alignment module icon and click the Competency Alignment Survey function:

 

Note: Administrative users can see ALL surveys by all Users. All other Users see only their own survey(s).

Administrator Tips:

See the Administration Module > Customize Terms & Weightings section > Competencies for an explanation of how to deactivate competencies in your organization.

During the set-up of Encompassing Visions, you will need to decide whether you want inactive competencies included in the Competency  Alignment Survey. The Policy: Strategic Alignment: Competency Alignment: Show inactive competencies on Competency Alignment Surveys determines whether or not inactive competencies will be displayed and evaluated in the Competency Alignment Survey and results.

Use the vertical scroll button2 buttons to scroll through the pages of surveys or the current survey filters.

 

Current survey filters

Double click the desired Survey or select the desired Survey and click View Actions > btn_edit_24to view/edit a Survey. Users are not able to access surveys completed by other users. The following message will appear

Click View Actions > btn_add_24 to add a new Survey.

Click View Actions > btn_comment_24 to open General Memo Notes screen to enter Notes about the survey (see the Memo Notes section of Interacting with Encompassing Visions for more information about this screen).

Click View Actions > btn_delete_24 to delete the selected Survey (Administrators Only). You will be asked to confirm the deletion.

Click View > Results btn_viewgo_24 (if available based on security) will open the Competency Alignment Survey Results screen.

 

Survey Status

The Complete column indicates the status of the Competency Alignment Survey.

The status dictates what functions are permitted for a particular Survey:

A completed survey can not be viewed or changed.

A completed survey can not be set to incomplete.

A completed survey can only be deleted by a System Administrator.  

An incomplete survey can be updated by the creator of the Survey.

An incomplete survey can only be deleted by a System Administrator.

You can not add a new survey if you already have an incomplete survey. The incomplete survey needs to be finished or deleted before another one can be added.

 

Add a New Survey

Note: if you have an incomplete Survey in the system, the Add New button will be disabled. The incomplete survey needs to be finished or deleted before another one can be added.

 

The Competency Alignment Survey screen is used to complete a Survey:

If the CoreValueSurveys06 is checked checked, the survey will automatically scroll to the next question after you select a response.  

Uncheck uncheckedthis box if you want to manually scroll through the survey using the btn_save_go_previous_24btn_save_go_next_24 buttons.

The system will remember your Competency Alignment Survey Auto-Scroll preference for next time you open a survey.

Note: This is not the same User Preference for scrolling that is used in the Job Questionnaire or the Learning and Growth Review. Each function has a separate Auto-Scroll preference.

You can jump to a question by clicking on the number at the bottom of the screen.

Tip: if you hover your mouse over a question number, the name of the competency will be shown.

Question numbers that are disabled (grayed out) indicate inactive competencies and are not available for rating (e.g. strategic alignment_casurvey6b).

The number of the question you are currently on is shown in red centered in a grey rounded rectangle.

A confirmation message will appear if the Close buttonbtn_ok_24 is clicked before all questions are answered.

Click on OK to close the message and to close the Survey. This will bring you to the Competency Alignment Survey.The survey will appear on the list with a status of False.

Incomplete surveys will not be included in any calculations or reports.

 

When all of the questions have been answered and the end of the questionnaire has been reached, this message will appear:

Click on OK to close the message and the OK Survey.

The Competency Alignment Survey screen appears again with your Survey added to the list and showing the status as True.

 

Complete an Incomplete Competency Alignment Survey (Edit)

Reminder: Only incomplete Surveys can be edited. When a completed survey is selected the Edit button will be disabled.

 

To open an existing Survey either:

1.Double click on the desired Survey, or

2.Select the desired Survey and click View Actions > Edit.

 

The following message will appear:

Click OK on the message that appears and you will be moved to the first unanswered question in the Survey.

The Remaining Number of Questions that have not been answered will show in the top right corner strategic alignment_casurvey10    

The completed questions will be in black(number) and will show at the bottom left.strategic alignment_casurvey11  

Answer the remaining questions to complete the Survey strategic alignment_casurvey12(see instructions in the Add a New Survey section above).

A General System Message will appear if a User is trying to access a completed Survey.

Module Access

Only users with a level 5 access to the module will be able to see names of others who have participated in the survey.

Users with a level 1 or 2 access will not have access to module..

Users with level 3 or 4 access will only see their name in the list of survey participants if they have done one or more previously, and be able to add a new survey only of their previous one is complete.

If the user has a level 3 or 4 access to the Competency Alignment Survey and it's their first time in the module, the system will automatically start up the survey by logging the employees's name in the table (that will only show their name) then take them right into the survey and the first competency in the survey.  If they have a survey previously started but still incomplete, the system will automatically take them into that incomplete survey and right to the first incomplete response.  If previous surveys are complete, it will automatically start them into a new one and take them to the first competency in the list.

Only the System Administrator with a level 5 access to Competency Alignment Survey can delete surveys.
